1. Agreement
These Terms of Service (“Terms”) govern your use of the AirDoc platform and services (“Services”) provided by AIRDOC-AI Pty Ltd (“AirDoc”, “we”, “us”).
By accessing or using the Services, you agree to these Terms.
2. Description of Service
AirDoc provides software that connects to your email inbox and accounting systems (including Microsoft 365 and Xero) to identify, extract, and process invoice data.
The Services use automated and AI-based processes to convert invoices into structured accounting entries.
AirDoc currently supports invoice processing and may expand functionality over time. Certain features may be in development, experimental, or subject to change.
3. User Responsibilities
You agree that:
- You are responsible for all data you provide to AirDoc
- You will only use the Services to process invoices you are authorised to access
- You will comply with all applicable laws and regulations
- You will review and verify all outputs before use
- You are responsible for maintaining appropriate backups of your data
AirDoc is designed to assist workflows, not replace professional judgment.
4. Financial Decisions and Responsibility
AirDoc does not provide financial, accounting, or professional advice.
You acknowledge and agree that:
- All outputs must be independently reviewed before use
- You must not rely on the Services as a sole source of truth for financial records
- You are solely responsible for any financial decisions made using the Services
- AirDoc is not responsible for any financial loss, business loss, or damages arising from use of the Services
- Any reliance on outputs generated by AirDoc is at your own risk
5. Accuracy and AI Limitations
The Services rely on automated systems and artificial intelligence.
AirDoc takes reasonable steps to:
- design and maintain reliable processing systems
- continuously improve accuracy through testing and benchmarking
- monitor performance and address issues as they arise
However, you acknowledge that:
- outputs may contain errors or inaccuracies
- performance may vary depending on document quality and format
- AirDoc does not guarantee accuracy, completeness, or reliability
6. Fees, Pricing and Payments
AirDoc operates on a pay-as-you-go model with optional bundled pricing.
- Fees are charged per invoice or based on selected bundles
- Pricing is subject to change with reasonable notice
- Payments are processed via third-party providers such as Stripe
- Refunds may, at our discretion, be considered on a case-by-case basis
Additional Processing Charges
To support ongoing AI and computing costs while maintaining competitive pricing, the following additional usage-based charges apply:
- Attachments without invoice data are aggregated and charged at a rate of 1 invoice per 20 attachments
- Emails without attachments or invoice data are aggregated and charged at a rate of 1 invoice per 20 emails
Clarification:
- Emails that contain invoice data (either in the body or attachments) are counted as individual invoice processing events
- These invoice-related emails are excluded from the email aggregation calculation
Example:
- 3 emails containing invoices → counted as 3 invoices
- 100 non-invoice attachments → counted as 5 invoices
- 100 emails without attachments → counted as 5 invoices
These charges are designed to fairly reflect system usage while keeping pricing efficient and accessible.
7. Subscription, Cancellation and Refunds
Where subscription or bundled pricing applies:
- Subscriptions may be cancelled at any time
- Cancellation will take effect at the end of the current billing period
- No refunds will be provided for unused portions of the subscription period, except where required by law or at our discretion
8. Account and Access
To use the Services, you must:
- Create an account
- Provide accurate information
- Maintain the security of your login credentials
You are responsible for all activity under your account.
9. Integrations
AirDoc integrates with third-party services including:
- Microsoft 365
- Xero
You acknowledge that:
- These services operate under their own terms
- AirDoc is not responsible for their availability, accuracy, or performance
- AirDoc is not responsible for failures arising from third-party systems
- Integration behaviour may change without notice
10. Data Processing and Retention
AirDoc processes invoice data in near real-time and may retain data for up to 3 months for traceability and version control.
You remain responsible for:
- the legality of the data you process
- compliance with applicable data protection laws
11. Intellectual Property
All intellectual property in the AirDoc platform remains the property of AIRDOC-AI Pty Ltd.
You are granted a limited, non-exclusive, non-transferable right to use the Services.
12. Acceptable Use
You must not:
- Use the Services for unlawful purposes
- Upload malicious or harmful content
- Attempt to disrupt or reverse engineer the platform
- Use the Services to process unauthorised data
13. Limitation of Liability
To the maximum extent permitted by law:
- AirDoc excludes all liability for indirect, incidental, or consequential loss
- AirDoc is not liable for loss of profits, revenue, business, or data
- AirDoc is not responsible for any loss of data, including invoice or financial data
- AirDoc’s total liability is limited to the total fees paid by you in the 12 months preceding the claim, or the minimum amount permitted by law, whichever is lower
Nothing in these Terms excludes rights that cannot be excluded under Australian law.
14. Service Availability
AirDoc does not guarantee uninterrupted or error-free operation of the Services.
The Services may be unavailable from time to time due to maintenance, updates, or technical issues.
15. No Warranties
The Services are provided on an “as is” and “as available” basis.
While AirDoc takes reasonable steps to provide a reliable and consistent service, we do not guarantee:
- uninterrupted or error-free operation
- accuracy or completeness of outputs
- fitness for a particular purpose
16. Termination
We may suspend or terminate your access if:
- You breach these Terms
- Your use poses risk to the platform
- Required by law
You may stop using the Services at any time.
17. Changes to the Service and Terms
We may modify, update, or discontinue features of the Services at any time.
We may also update these Terms from time to time. Updated Terms will be published with a revised effective date.
By continuing to use the Services after updates are published, you agree to be bound by the updated Terms.
18. Indemnity
You agree to indemnify and hold harmless AIRDOC-AI Pty Ltd, its directors, employees, and affiliates from any claims, damages, losses, or liabilities arising from:
- your use of the Services
- your data
- your breach of these Terms
19. Governing Law
These Terms are governed by the laws of South Australia, Australia.
Any disputes will be subject to the jurisdiction of courts in South Australia.
